Appointments
We kindly ask all new patients to arrive 10 minutes prior to their appointment time to complete necessary forms. For general appointments, please arrive promptly. If you anticipate being late, please call ahead to avoid disappointment if we are unable to see you. Each appointment is allocated specific time, and any delays may impact subsequent patients and our daily schedule
Cancellations
If you are unable to attend your appointment, please contact our practice as soon as possible. We kindly ask for at least 24 working hours’ notice for appointments less than 2 hours in duration, and 48 working hours’ notice for appointments over 2 hours. If the cancellation is within this time period it will be considered a short notice cancellation. Please note that any deposits paid in advance will be forfeited if appointments are cancelled outside these specified time frames or if you fail to attend. The following short notice cancellation fees apply for patients with ongoing treatment:
- 1-hour appointment: £100
- 2-hour appointment: £150
- 3 or more hours: £200
If you fail/late cancel three appointments, we reserve the right to terminate your treatment with Ora Dental.
Deposits
All treatment appointments require an upfront deposit, which is refundable if cancelled in advance and has not fallen into the short notice cancellation as outlined above. The deposit structure is as follows:
- New Patient Fee: £50, refundable if cancelled or rescheduled with at least 24 hours’ notice.
- Treatment Fee: 50% of the total appointment cost, refundable if cancelled or rescheduled with the notice required for the length of the appointment.
- Clear Correct Review Appointments: £50 holding deposit, refunded at the end of treatment.
We value our dentists’ time and appreciate your understanding, as early notice allows us to offer available slots to other patients needing treatment
Finance
If your total treatment cost exceeds £1000, you can opt to spread the payments over up to 5 years through our FCA-regulated partner, Tabeo. This option is subject to standard credit checks. Our dedicated team can assist you in completing a finance application, which must be submitted within 48 hours as the link will expire. Please note, if you cancel the finance arrangement outside the 14-day cooling-off period, a fee of 10% of the total treatment cost will apply.
Treatment Guarantee
Your treatment guarantee varies depending on the specific type of dental procedure you receive. For detailed information about the guarantee applicable to your treatment, we encourage you to discuss it with your dentist. They will provide you with all the necessary details and answer any questions you may have.
Refunds
We understand that you may need to cancel your treatment appointment. You are entitled to a full refund if the cancellation is made within the allowed notice period and if the practice has not already invested in materials or design fees specific to your treatment. Cancellations made after this time will result in a 50% refund of your treatment deposit. For finance application refunds, please email the clinic with your request. The clinic will coordinate with the finance company to arrange the refund, which must be done within the 14-day cooling-off period. New patients seeking a refund of their initial deposit must request it before the 24-hour notice period. Please allow up to 7 working days for all refunds to be processed.
Feedback and Complaints
- At Ora dental we welcome all feedback, positive or negative. We use this information to improve our quality and service. If you would like to give feedback, please email your clinic.
- If you would like to make a formal complaint please send a detailed email to the clinical director. They will email back within 3 working days, with a plan to look into your complaint in further detail. They may want to arrange a face-to-face meeting or telephone call to discuss this further.

Zero Tolerance Policy
If any patient is abusive or violent towards any member of staff or any other persons on the practice premises, the practice retains the right to have the patient removed from their list. In extreme cases the police may also be contacted.
Medical History
Written patient medical history will be taken when you have your initial appointment at the clinic. This will be updated verbally or again in your medical history folder annually. If you are aware of any changes to your medical history, it is your responsibility to notify the team.
Infection Control
At Ora Dental we create an annual infection control statement. All staff are fully trained, and patients are informed of any policies or procedures that are operational with the clinic, this includes covid 19 measures. Hand sanitiser, face masks and clinical gloves are available on entry to the clinic if required.
Quality Assurance
Our practice aims to provide dental care of a consistent quality, for all our patients. We will have management systems to help us, and which define each practice member’s responsibilities when looking after patients.
Consent
Patients are provided with sufficient information to ensure they understand the nature of the proposed treatment and any alternatives, risks, benefits and anticipated outcomes of treatment before they give their consent to it, and that the patient-clinician discussion and agreement is clearly documented. This is signed prior to treatment starting. Media Consent is signed prior to any photographs being posted online.
CCTV
Closed circuit television (CCTV) is installed at the practice premises for the purposes of staff, patient and premises security. Cameras are located at various places on the premises, and images from the camera are recorded. The use of CCTV falls within the scope of the GDPR.
